Description

The Legal and Governance Division encompasses risk management, legal, compliance, discipline, company secretarial and governance functions. The Legal Secretary Administrator is required to manage the administrative operations within Legal and Governance to ensure that the division fulfils its functions within SAICA.

Duties & Responsibilities

Objective 1

Organising

  • Managing SAICA Disciplinary meetings - logistical arrangements including travel, accommodation and catering
      • Managing and collating team members project plans to ensure equitable distribution of matters
      • Organize and maintain law libraries, documents, and case files including maintaining an electronic law library (knowledge of JUTA, LexisNexis)

Objective 2

Research

      • Review legal publications and perform database searches to identify laws and court decisions relevant to pending cases
      • Conserves attorneys time by reading, researching, reviewing, verifying, and routing correspondence, reports and legal documents
      • Submit articles and information from searches for review and approval for use
      • Collecting and analysing information

 

Objective 3

Disciplinary Meetings

      • Compiling the Annual Disciplinary Meeting Matrix and organising disciplinary meetings and related functions.
      • Compiling the agenda and disciplinary meeting packs
      • Liaise with team to ensure timeous submission of input for the pack
      • Ensure pack delivered within required deadlines
      • Manage the appointment of Chartered Accountants as arbitrators/valuers on matters referred to SAICA and maintain a database of practitioners available to provide such services

 

Objective 4

Case Management

      • Supporting the PD: Discipline to open and allocate files
      • Track and maintain disciplinary schedule, disciplinary meeting matrix and precedent register

Objective 5

Administration and Support

      • Draft and type letters, documents and office memos
      • Organising and storing paperwork, documents and computer-based information
      • Ordering and maintaining stationery and equipment
      • Sorting and distributing incoming post and organising and sending outgoing post
      • Make photocopies of correspondence, documents, and other printed matter
      • Receive and place telephone calls
      • Sorting and distributing incoming post, organising and sending outgoing post:  mail, fax, or arrange for delivery of legal correspondence
      • Prepare and process legal documents and papers
      • Initiating telecommunications, organizing client conferences and meetings, scheduling couriers
      • Coordinating preparation of charts, graphs, and other visuals; preparing expense reports
      • Maintains attorney calendar by planning and scheduling meetings, conferences, teleconferences, and travel
      • Recording and monitoring meeting and disciplinary hearing dates, pleadings, and filing requirements; monitoring evidence-gathering; anticipating changes in litigation or transaction preparation requirements
      • Devising and maintaining office systems
      • Using content management systems to maintain and update websites and internal databases
      • Managing and maintaining budgets, as well as invoicing
      • Assist with project management
      • Maintain and manage the SAICA’s historical repository and track access
      • Provide professional service and support to all stakeholders

 

Desired Experience & Qualification

Formal Qualifications

  • Matric
  • Relevant tertiary education qualification would be advantageous
  • Part or full Paralegal qualification would be advantageous

 

Required Experience

  • Minimum 3 (three) years’ experience in a similar role
  • Prior legal secretarial experience
  • Typing speed of 50wpm + (this will be tested)
  • Outstanding English verbal and written communication skills
  • MS Office
