Description
Duties & Responsibilities
20% Creditors
- Capture Creditor invoices daily and ensure all are accurate and correct
- Reconcile creditor balances with supplier statements monthly
- Ensure all monthly expenses are captured accurately and timeously
- Prepare invoices for payment, ensure necessary discounts are highlighted and that the expense has been approved.
- Ensure all creditors are paid timeously in accordance with the SLA
- Check the Advertising General Ledger daily and ensure that it is accurate
- Reminder to relevant person that all advertising/marketing expenses are submitted with the relevant supporting documentation (Marketing/Brand Manager responsibility to get all necessary paperwork)
- Prepare and send a monthly Advertising Spend report to the Marketing Manager at the end of each month
- Reconcile the credit card statement and investigate any variances monthly
- Capture cashbook payments weekly
- Ensure all supporting documentation is received for donations monthly
- Prepare and send an Accounts Payable report to the Financial Manager weekly with explanations and analysis
- Ensure all supporting documentation for exports (Vat supporting documents for SARS) is stored for auditing purposes monthly
- Capture the petty cash transactions monthly
- Capture and keep track of all travel expenses monthly
- Assist the Financial Manager as and when required
- Ensure all creditor charges (i.e. freight) are invoiced to client / staff for relevant purchases made – signature with sales invoice number as proof on the relevant expense invoice to be paid.
- Assist auditors with ad hoc queries at year end
40% Stock Control
- Help the warehouse manager coordinate the stock takes and ensure all parties are participating in accordance with policy
- Capture stock adjustments and the internal usage and check the transfers captured and post daily
- Create and send a Stock Adjustment and Internal usage report to the Financial Director at the end of the month
- Manage stock purchase orders and assist with stock receipting
- Assist the Workshop Manager with Parts orders and queries within reason. Workshop Manager’s responsibility to manage their orders.
- Monitor supplier orders and purchase orders to check for any changes and process accordingly, or investigate discrepancies
- Implementation and maintenance of financial stock controls to ensure financial accuracy with regards to adjustments etc
- Create new Sage 300 stock codes/pricelists/manufacturers items when required and remove old stock from the categories when applicable
- Monitor and update all ETA’s on Sage 300
- Create variant codes and filters on Symphony to ensure all products are accounted for
- Check the “coming soon” category regularly to ensure that items with stock are available for purchase
- Monitor and follow up on all once-off item codes and ensure the relevant sales person is processing them accordingly and creating invoices for the relevant client or staff purchases
40% Financial Accounting
- Prepare and update the monthly balance sheet reconciliations and ensure all are correct and accurate before the 10th of the next month
- Prepare the VAT recon for submission before the 25th of the month along with supporting documentation as and when required
- Process the monthly general ledger journals before the 10th of the next month
- Create journal entries for all expenses related to advertising and/or donations monthly
- Ensure all expenses are complete and smoothed monthly with necessary accruals if required
Desired Experience & Qualification
- A degree in accounting
- 5 years’ experience in an Accounts position
- Problem solving skills
- Multitasking and critical thinking skills with strong analytical skills
- Computer literacy skills
- A sense of accuracy and attention to detail
- Intermediate to advanced skills in Microsoft applications
