Duties & Responsibilities
Reporting to Head of Talent Management
Key working relationships:
Internal: Employees, Line and Senior Management
External: Retirement Fund, Alexander Forbes, Discovery, National Road Freight Bargaining Council, Kaelo Gap Cover, Old Mutual Supplementary policies, Workman's Compensation, Employee Wellness Service providers

Providing information and financial piece of mind to our people ensures the incumbent will be a trusted partner, educator and expert in Administrating, Facilitating and Managing the Employee Benefit processes, i.e. Discovery Medical Aid, Bidvest Retirement funding Income, Death and Disability, Leave administration, Long Service Awards Administration, Injury on Duty and our Employee Wellness Programme
Key Responsibilities:
Administering and managing the day to day function.
Updating and reconciliation of contribution payments
Process withdrawals from the Retirement funds and medical aid for resignations, retirements, death and disability
Attend to queries- both written and telephonic
Presenting to staff on request whenever administration presentation are required
Assist HR in the facilitation of the induction process for employee benefits and advise employees of their benefit options and plans (where necessary)
Facilitate the application / removal of all members and their dependents
Ensuring compliance with applicable legislation e.g. Basic Conditions of Employment, LRA, Income Tax Act and COIDA
Main Activities of the Role:
Facilitate and promote sharing information around employee benefits and reward in the induction process and employee life cycle.
Dealing with post retirement and death, resignation withdrawals forms for the medical aid and retirement funds
Assisting with Staff queries and Employee education around Employee Benefits
Facilitation and Management of Employee Wellness Programme
Processing of Temporary & Permanent Disability Claims
Maintenance and updating of WSS
Sharing information, educating and providing effective feedback where required around this speciality
Ensuring all relevant benefits information is regularly updated, shared and distributed to all stakeholders e.g. employees, managers etc.
Ensuring that new updated information is shared and promoted to all employees and pensioners.
Financial Responsibility:
Reconcile all service provider schedules on or before due date e.g. Discovery, Retirement funds etc.
Avoid penalties due to late submission of schedule and payment
Facilitating Workman's Compensation processes and payments
Performance Indicators:
Cycle time to resolve medical aid applications / queries
Cycle time to process benefits withdrawals
Administration of ESS system
Timelines in submission of third party reconciliation
Timelines in submission of third party schedules
Identifying and reporting on success factors around employee wellness
and wellbeing
Ability to communicate effectively with staff, management and Service Providers
A team player with strong leadership abilities
Ability to work with minimal human supervision other than requirements per official procedures
Ability to effectively manage own time and high volumes of admin related documentation
An established reputation for professional discretion when dealing with confidential and personal employee information
Excellent interpersonal skills and the ability to interact with individual at all levels
High levels of empathy
The ability to support our people through sharing information, educating and providing effective feedback where required
