Description
The ideal candidate needs to be a pro-active legal secretary who will provide Conveyancing and administrative support to the team. A hardworking, self-motivated with excellent interpersonal and organising skills and the ability to work independently with minimal supervision will thrive in the position.
Duties & Responsibilities
Key Responsibilities
The responsibilities of the position include but are not limited to:
Conveyancing Secretarial tasks
- Acknowledging receipt of instructions
- Scrutinizing instructions from the bank and complying with the conditions of loans granted
- Drafting of bond documents
- Drafting of transfer documents relating to transfers of undivided shares, Sec 42 transfers, transfers relating to zero-rated transactions
- Drafting of applications and certificates relating to the opening of sectional title registers and township registers
- Drafting of documents, applications and certificates of registered title relating to the subdivision of property
- Drafting of applications and certificates of registered title and certificates of consolidated title
- Drafting of Notarial Deeds of Servitude, Special Powers of Attorney etc.
- Arranging consultations with clients
- Preparing documentation and arranging for clients to sign
- Ensuring that clients comply with conditions of sale and FICA requirements
- Typing legal documents and correspondence
- Formatting agreements
- Updating electronic systems
- Ensuring that financial aspects of the transaction are in order and collecting payment
- Facilitating lodgement and registration
- Finalising accounts
Administrative tasks
- Opening and closing of files
- Maintaining an updated filing system
- Following up on outstanding requirements and communicating with clients
- Attending to telephonic and email queries and requests from clients
Skills and Competencies
- Good interpersonal and communications skills
- Excellent secretarial and typing skills
- Strong organising skills, meticulous with a high attention to detail
- Ability to work toward meeting tight deadlines in a highly pressurized environment
- Taking Initiative and assuming responsibility for ensuring expeditious processing of transactions
- Ability to work independently
Willing to work in a team and assist team members with instructions
Desired Experience & Qualification
Qualifications and Experience
- Matric/Grade 12.
- A paralegal, secretarial, or administrative diploma in conveyancing would be advantageous.
- At least five years’ experience in a similar environment working on transfers of both residential property and commercial property; commercial bonds for the major banks including Standard Bank Commercial, ABSA CPF Grindrod Bank and Nedbank as well as general conveyancing.
