Summary Statement: (Reason why job exists) The primary objective of the Operations Manager position is to be a direct representative, capable of making and implementing sound decisions on behalf of the company in all areas of the planning, directing and coordination of the branch assigned to. The Operations Manager is responsible for:  overseeing the operational, financial and legal affairs of an operational division / branch  asset management and maintenance thereof  all personnel and related functions  overall administration of the division / branch.  effective leadership to ensure the staff functions as an effective and committed team in line with company vision, mission, goals and values  leadership in maintaining a productive, cost-effective, safe and legal workplace Key Performance Areas: (Essential Duties & Responsibilities) To perform this job successfully, the appointed individual must be able to perform each essential duty / key performance area satisfactorily. This list of key performance areas is not exhaustive and may be changed / supplemented to accommodate business needs from time to time:  Reporting relationship to Satellite Regional Manager(SRM) o Ensure clear and timely reports and proposals are prepared and presented to SRM as and when required. o Follow up on concerns and research issues in a timely and effective fashion o Establish systems and procedures to keep SRM informed about the division / branch’s status, needs and activities  Financial: o Ensure adequate financial internal & corporate governance controls are in place and effective o Provide timely and accurate financial reports o Ensure the division / branch’s assets are managed according to set objectives Human Capital Operations Manager Page 2 of 5 o Prepare all budgets and financial forecasts o Critical examination of information for accuracy o Evaluating information - perform in-depth financial analysis and promptly address financial inaccuracies, inefficiencies and problems (review financial statements, sales and market coverage reports, and other performance data to measure on an ongoing basis progress to goal achievement and to determine areas requiring improvement / enhanced action and / or cost reduction) o Overall responsibility to plan for the division / branch’s financial future, needs, profitability, etc. o Overall responsibility to ensure the quality of division / branch financial activities is in line with company objectives. Essential department functions to be monitored are:  New and Used Sales: ensure order take targets, invoicing targets and GP targets are met, stock turn is controlled, acceptable levels of area coverage in region is met  Rental: ensure that financing is done within the parameters as set out by the Board, ensure that sales and GP targets are met, rental fleet utilization is as per set targets, growth in rental fleet and quality of rental deals are as per set targets / budget, maintenance of rental fleet is as per service schedule and that quality of maintenance and costs corresponds and is in line with budget, ensure invoicing and financing takes place within agreed time frames and that necessary documentation is submitted to head office timeously for processing  Parts: ensure that sales and GP targets are met, stock availability is as per set targets, parts obsolescence is controlled, ensure parts order processing happens fast and efficiently, ensure parts inventories / perpetual stock counts are done as per company policy  Service & Maintenance: ensure work in progress and service scheduling is managed in line with company policy, profitability of maintenance contracts is managed and in line with company policy, warranty claims processing are in line with set regulations and submitted for processing timeously  Debtors: overall responsibility to ensure branch debtors book is managed within company objectives / budget; ensure there is a constant strive to improvement; drive the departments’ debt management in line with company strategic objectives; overall responsibility to ensure the division / branch follows best practice and standards in line with legal and company requirements and objectives at all times; ensure division / branch debt management practices adhere to set policies and procedures at all times  Creditors: ensure accurate and timeous verification of invoices (also following up on outstanding invoices); ensure reconciliation of creditors are done on a monthly basis and reports / information submitted timeously to head office for processing  General:  ensure all department overheads are in line with company regulations and under control  overall responsibility to ensure administrative procedures are followed correctly  ensure OHSACT; ASEC and ISO requirements are met on own and customer premises and that all regulations are adhered to.  Customer Service: o Overall responsibility to ensure quality of customer interaction and service (support and guide the division / branch in attracting and securing new business, developing partnerships with and tailor-made solutions for clients) o Ensure that the company is effectively presented to customers and market  Operations: o Responsible to ensure efficient and effective organisation of the division / branch’s operations to maximise profitability in a sustainable manner Human Capital Operations Manager Page 3 of 5 o Responsible to ensure adequate strategic planning (short and long term) and action plans are developed, evaluated and on an ongoing basis revisited for relevance and applicability o Responsible to plan for the division / branch’s ongoing operational needs, including technology, facilities, equipment, manpower, etc. o Responsible to direct and coordinate business activities (across all reporting departments); establish and ensure implementation of departmental policies, goals, objectives and procedures in line with company objectives and vision, goals, values and key principles; ensure proper communication and consultation on such policies take place with both board and staff o Responsible to identify and address operation problems timeously  Human Resources: o Overall responsibility to ensure staff in all departments are managed in line with company personnel policies and procedures: essential functions that should be performed by appropriate department staff in line with the company’s values and key principles are: o bi-annual performance appraisals per staff member and monthly scorecard discussion with staff  timeous compilation and submission to Gauteng Branch of payroll information  daily/weekly/monthly departmental meetings as applicable  managing leave and absenteeism plus time keeping and overtime  ensure effective inter-departmental and internal communication  maintaining compliance with company’s personnel policies with regards to hiring, terminations, compensation, benefits, discipline, grievances, safety and training  Overall responsibility to grow the division / branch in line with company requirements  Overall responsibility to develop and implement operational innovation. Required Minimum Knowledge, Skills Education / Training and Experience Requirement(s): The requirements listed below are representative of the knowledge, skills, education / training and experience required for this position:  Education / Training and Job-related experience requirements: o Relevant business management tertiary qualification (NQF Level 6) o Relevant management experience  Knowledge requirements: o Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modelling, leadership technique to best position the division / branch o Knowledge of and insight into local and global industry dynamics and associated value propositions o Knowledge of principles and processes for providing customer and personal services; e.g. customer needs assessment, meeting quality standards for services and evaluation of customer satisfaction o Knowledge of principles and procedures for personnel recruitment, selection, training, compensation and benefits, labour relations and negotiation, and personnel information systems o Knowledge of principles and methods for promoting and selling products and / or services;
