Duties & Responsibilities

Reporting to: Operations Supervisor
Reportees: Drivers

Position Summary:  The Transport/Fleet Controller role is essential in ensuring that the operations of the trucks is optimal at all times. This role ensures that the driver key performance indicators are executed to ensure that the company meets its revenue budgets and also continuously plans for the work of the trucks based on customer demands. This role is critical to the company meeting its targets

General Responsibilities:

The Transport/Fleet Controller will ensure that they oversee the truck activities on a daily basis managing the following:

Responsible for all SAFETY adherence procedures for the drivers whilst on the road and at customer sites.

Responsible for the direct supervision of the drivers i.e. HR requirements of drivers i.e. leave management and time-sheets, driver performance and objective setting, driver coaching.

They will set and assess daily truck and driver key performance indicators (KPI’s).

They will be the Single Point of Contact for all external and internal stakeholders related to truck activities.

They will liaise with the customer dispatches on truck turn around and loads delivered.

They will manage truck daily utilization and availability against set targets.

They will be responsible for optimized route planning.

They will ensure that all consumable supplies connected to the operations activities are replenished at all times particularly diesel.

They will be responsible for diesel management and optimization.

Position Interface and Interactions: External Stakeholders:

Customers:

The Transport/Fleet Controller will ensure regular communication with the customers for the following:

Safety audits and reports.

Truck daily plans.

Communicate trucks ETAs (Estimated Time of Arrivals).

Communicate truck Turn Around Times (TATs) ) at loading andoffloading points.

Communicate any truck breakdowns.

Send Proof of Deliveries timeously – These are the tools and means for the company to getting paid by the customer.

Archiving of all records i.e. PODs

Service Providers:

The Transport/Fleet Controller will ensure regular communication withthe service providers on the following:

Ordering of a service

Turn Around Time on service delivery

Completion of Payment to the service providers.The service providers may include and are not limited to the following:

Tyre providers

Mechanical workshops or mechanics

Diesel providers

Original Equipment Manufacturers (OEMs)

PPE providers.

Trackers

Insurances

Internal Stakeholders:

Drivers: The Transport/Fleet Controller will ensure regular communication with the Drivers with regards to the following:

Communicate and manage truck key performance indicators to the drivers.

Manage human resource target i.e. leave, disciplinary processes,training plans etc.

Operations Supervisor:

The Transport/Fleet Controller will ensure regular communication with the Operations Supervisor and Managing Directors with regards to the following:

Safety reports.

Truck daily plans/weekly plans.

Required resource for executing loads i.e. diesel, toll-gates, PPE etc.

Daily, Weekly, Monthly Operational Reports.

Communicate truck Turn Around Times (TATs) at loading and offloading points, truck utilization and availability.

Communicate any truck breakdowns or delays.

Communicate any foreseeable or unforeseeable challenges regarding target attainment

Administrative Clerk:  The Transport/Fleet Controller will ensure regular communication with the Administrative Clerk on the following:

Order placements and receipts

Invoice conversion and receipted.Report finalization (Budgets, Leave reports, Overtime etc.)

Managing Directors:  The Transport/Fleet Controller will ensure regular communication with the Managing Directors on all important aspects of the business related to their functions i.e. driver details, operational performance and service levels to date

Resources:

Operational Procedures and Policies, Tracking Tools, Enterprise Resource Planning Tools (Customer Portals), Cell-phone and datam, Computer
