Job Title: Supervisor, XPress

Job Location: 49 Jones Road, Jet Park

Main Purpose of The Role:

This role will require end to end management of the daily operational tasks in the XPress environment as well as finance aspect. Driven to develop and adapt processes around:

  • Operations
  • Training internal and external pertaining to the product and system
  • Business unit finance management from Vendors to Debtors.
  • Effective control to ensure the highest level of compliance always.
  • Team management and productivity management

    Minimum Requirements: (non-negotiable when screening)

  • 7 years operational experience
  • Managerial experience and/or acumen
  • Added advantage of any courier experience
  • Strong verbal and written communication skill and ability to effectively communicate with both operational and senior individuals.
  • Attention to detail and profit conscious
  • Process driven and ability to support in creating and maintaining of SOPs
  • Creating and adapting of business documents and adapting to ever changing business needs
  • Ability to adapt to a changing environment in a new and upcoming product.
  • Strong financial acumen

Qualifications: (please specify if the qualification is essential or advantageous)

  • Matric (essential)
  • Qualification in Logistics an added advantage

Computer packages (please specify whether essential or advantageous)

  • Cargowise understanding and previous experience would be beneficial
  • Microsoft Office, intermediate knowledge
  • Ability to learn other systems quickly (DSV XPress, All other courier company customer service platforms)

Duties and Responsibilities:

This role will have dual functionality namely, (a)Day to day Operations, Finance management and Effective controls (b) Support, train and actual involvement in sales training as well as occasional customer visit and support.

Key Responsibility

This includes, but is not limited to

(a)

  • Create, follow up and monitor of XPress courier shipments.
  • Advise internal and external clients of irregularities.
  • Proactive problem solving.
  • Effective communication to both clients and management on unresolved matters.
  • Accurate and timely written updates to clients.
  • Customer relationships are to be maintained in a professional and diplomatic manner.
  • Email to be constantly monitored on a group mailbox level.
  • Daily dashboard extract to Xcel and managing all exceptions within given metrics.
  • Detailed hand over reports and ensure desk is left without any unattended workload.
  • Full responsibility for client shipments from pick up to delivery.
  • Set up client / user profiles in accordance to account set up forms.
  • Full responsibility for accurate invoicing, gathering of the relevant regulatory (SARS) documents from vendors and send documents to clients, including POD's where required
  • Assist Sales teams with client rate cards.
  • Accurate spot quoting and follow up.
  • Receiving, checking and uploading of vendor invoices.
  • Generate and understanding of operational reports.
  • Liaise and support other operational staff.
  • General day to day Administration duties.

    (b)

  • Have a detailed understanding of the system and functionalities.
  • Support with internal sales training and ensure limitation are set and adhered too.
  • Support client set ups and, in some cases, travel to clients for presentation and system support.
  • Weekly performance report to managements on operational challenges.
  • Ability to do summarized and tailored reports to management regarding department overview and performance.

  • Desk level operations and effective communication to clients.
  • Ability to work in a high-pressured environment.
  • Able to manage high volume work / e-mails effectively.

  • Effectively build relationships with clients.
  • Develop and maintain working relationships with external service providers.
  • Good geographical knowledge.
  • Strong self-confidence and ability to support inhouse sales and on customer visits.
  • Attention to detail, accuracy and numeracy.
  • Ability to work well in a team environment.
  • Excellent communication skills, both verbal and written and with a polite, courteous and professional manner.
