Description
Duties & Responsibilities
Reporting to the Sales Manager, you will play a hands on role in the sales department to ensure departmental profitability and outstanding customer service.
Minimum Job Requirements:
Senior Certificate (Grade 12) with Maths
Advantageous Requirements:
Advanced computer literacy (i.e. Oasis, Focus Pro, Kerridge)
Sales and/or Administration experience within the Motor Dealership Industry
Computer literate (Office suite)
Source all vehicles for customers (new car stock controller):
- Gather accurate vehicle order specifications (i.e. colour, trim, options etc.)
- Locate specified vehicle within desired timeframe (according to customer needs)
- Review stock availability and sourcing de-allocated vehicles from camp stock
- Provide continuous progress report feedback to sales executive
- Ensure delivered vehicle is without any damage (if damaged – advise sales executive, vehicle transport company)
Load all vehicle information as stock:
- Accurately complete all invoicing
- Load all sourced vehicles on System (Auto line/Kerridge)
- Open dealership orders (i.e. PDI, fuel etc.) on Auto line
- Ensure vehicles are booked into workshop for uploads (i.e. PDI, specifications etc.)
- Do monthly stock allocation
Capture warranties on all new/demo and courtesy vehicles
- Capture vehicle warranties accurately and load onto System
- File warranty certificate
- Responsible for the timeous and accurate registration of all new / demo and courtesy vehicles
Manage dealership floor plan for new, demo and courtesy vehicles and pay all new vehicles invoiced.
- Ensure adequate understanding of all interest free time periods on dealership vehicles
- Ensure all vehicles are correctly invoiced
- Do accurate stock reconciliation at specified time intervals and provide feedback to FM
- Follow up on payment progress
- Generate quotes for all new vehicles
- Ensure adequate understanding of relevant interest rates
- Ensure vehicle payments are settled before attracting interest
Responsible for registration and licensing documents of new and demonstration vehicles
- Accurately capture all vehicle information
- Order number plates
- Ensure settlements of trade-inns are to be done on time as per valid settlement letter
- Request Natis documents for vehicles settled
- Insure all trade-ins are Dealer stocked
- Ensure al VAT is declared on all vehicles
- Ensure new and demo vehicles are collected within specified time period
Responsible for invoices to banks and other institutions
- Make sure all documentation is correctly gathered and prepared for sales manager’s sign off
- Ensure accuracy of OTP and accurate costing of invoice
Follow up on claims (i.e. assistance claims, duty refunds, delivery fees etc.)
