Duties & Responsibilities
The Shipping Controller is responsible for effectively administering the planning, controlling, co-ordinating and communicating of the shipping function of the Company, including Import Control, Export Control, and Road Freight etc. The Shipping Controller reports to the Procurement Manager.
The basic duties include, but are not limited to, the following:
- Control, manage, plan and co-ordinate Import Control, Export Control, and Road Freight etc.
- Effectively administer the full Shipping Controller role (including but not limited to: legal compliance and cost control, shipments documentation i.e. shipping files, filling, etc.
- Co-ordinate and consolidate shipments from suppliers in the most cost effective manner.
- Negotiate freight rates and sailing and flight schedules etc. to ensure timeous clearance and delivery.
- Track shipments with clearing agents with regards to timelines, custom releases or detentions etc.
- Assist the Sales team with export quotations via air, sea and road.
- Advise Sales and Warehouse of planned deliveries.
- Assist Accounts with relevant documents and signatures for payment of foreign and local invoices.
- Negotiate rates with various export agents, shipping lines and road transporters for all forms of export, air, sea and over boarder.
- Negotiate transport and delivery of shipments via various modes of transport to our premises at the best rate to accommodate our specific schedules and requirements i.e. from ports, airports, etc.
- Arrange insurance claims when needed.
- Track and trace departure and arrival of shipment.
- Advise Marketing of new products.
- Assist with unpacking of samples onto Mezzanine.
- Keep up to date with tariff consulting, custom regulations, etc.
- Good Knowledge of and experience with SABS rules, regulations, standard of requirements, etc.
- Ensure that all stakeholders are up to date with gazetted amendments and regulations, etc. File all amendment in the Jacobsens tariff book on a month to month basis.
- Receive file correctly.
- Complete insurance cost for file.
- Check agent cost invoiced.
- Follow up with suppliers for invoices, packing list and related documents.
- Follow up with forwarding agents for ANF, shipping lines notifications.
- Submit same to clearing agent with clearing instructions.
- Shipping files to adhere to auditors requirements at all times.
- Reports to include all pending shipments, It must be sent to the warehouse at least once a week.
- Analyze PO back order reports on a weekly basis, maintain dates where required and follow up with suppliers on what needs to be shipped.
- Weekly status reports from forwarder on pending shipments.
- Match PO’s to invoices and add to file with shipping details. Check tariff codes and confirm EUR1 certifications as and when necessary.
- Receipt foreign payments as and when necessary e.g. duty refunds, courier shipments, etc. receipt discrepancies and query damages.
- General duties and ad hoc tasks, projects and requests when required.
