Description

 

International leader in the manufacturing of automotive products requires the professional skills of an experienced Sales and Procurement Administrator. The successful candidate will be responsible for to provide procurement, sales, and logistics to the company’s operations. The candidate will also provide a point of contact for customers with queries about orders or deliveries and contributes to quality customer service.

Duties & Responsibilities

Sales Administration

  • Receive RFQs and orders/BRFs by telephone, email or website generated enquiries.
  • Act as first point of contact for customers, who may need assistance with orders, requests and complaints, alerting the relevant Manager to any urgent issues or complaints.
  • Check that quotes, orders and BOMs include the correct prices, discounts and feature numbers.
  • Prepare and distribute completed / approved quotes to customers.
  • Send order confirmations to customers.
  • Contact customers or Group Admin to verify any details that may be wrong or to obtain missing information.
  • Create BOMs for national and cross-border orders on Group Supersite
  • Enter all quotes & orders into the company’s ERP system
  • Communicate with relevant departments to agree on delivery dates, vehicle scheduling, off-site fitments, and dispatch dates for customer sales.
  • Liaise with PDD to resolve any product or technical queries and part/feature numbers.
  • Arrange delivery of vehicles to facility for modifications upon confirmation with Production Manager/Administrator
  • Maintain sales records and update customer records
  • Prepare Sales and Quotations Summary Reports
  • Update Group Sales, Group Admin & Operations/Sales Manager on order status and delivery details so that they can keep customers informed; update outstanding order board daily
  • Forward all required information and documentation (GRN’s etc) to Finance Department in order to process invoices, once orders have been completed

 

Procurement / Purchasing

  • Procurement of components and supplies for Modifications.
  • Decide which suppliers meet the local sourcing strategy (BBBEE) and initiate activities and contact with these suppliers.
  • Negotiate pricing and other terms of purchase with suppliers to ensure price value and stability
  • Send our RFQ’s to suppliers
  • Provide feedback on pricing and availability to internal customer prior to Purchase requisition completion
  • Issue Purchase Orders to suppliers
  • Follow up on open orders with suppliers and communicate ETA internally
  • Assist to identify potential new suppliers
  • Update parts pricing on Kerridge
  • Working in conjunction with engineering, ensure consistent quality and expeditious delivery.
  • Develop ongoing evaluations and reviews of suppliers and maintain a rating system with which to evaluate suppliers
  • Research and develop a database of competent suppliers of high-quality components
  • Utilize the QAF process (Quotation Analysis Form) to analyze as well as evaluate each supplier quotation.
  • Manage each project by using SPQM (Supplier Parts Quality Management) to control and monitor the project.
  • Monitor supplier quality and delivery performance; compile a management report using ‘Parts Per Million’ analysis and issue to plant management and to each supplier?
  • Control and record all quality documents in the Purchasing Department according to ISO 9000 and company requirements.

 

Financial Responsibilities

  • Supplier cost reduction and other cost saving initiatives
  • Provide accurate costings for quotations that need to be provided to customers, based on their specific RFQ’s

Desired Experience & Qualification

  • Completed Matric essential
  • 5 – 7years experience within a Sales and/or Procurement environment
  • Must have experience in the manufacturing industry
  • Excellent communication skills with good command of English, both verbal and written
  • Require good organisational skills
  • Able to work accurately with good attention to detail
  • Excellent customer service skills
  • Deadline driven
  • Basic Financial skills
  • Proficient in MS Office Package

Package & Remuneration

R 240k – R 260k CTC pa
