Description

Our client, a well-established Chemical Manufacturing company based in Hammarsdale, is looking to fill the position of Sales Administrator.

Purpose:

Provides essential support for the sales team. Responsible for the efficient handling of sales orders and to improve the productivity of field sales representatives by dealing with customer queries and fielding calls. This important position contributes to the quality of customer service and the achievement of sales targets.

Key Responsibilities:

  • Promote and maintain the image of the company to the marketplace.
  • To actively seek new opportunities to promote sales of the company’s products and services.
  • Increasing over-all sales by creating product range awareness, upselling on orders, monitoring inactive customer lists and reviewing slow moving stock.
  • Process all sale orders that reach the company by telephone, letter, e-mail or website.
  • Process orders generated by sales representatives or self.
  • Check the order to ensure that customers have the correct details, such as product, price, volume, and discount or product code numbers.
  • Contact customers to resolve any queries or obtain any information that is missing, such as size, colour or price.
  • Enter details of the order on the M3 ERP system.
  • Check and/or liaise with the production or dispatch department, confirming stock availability or delivery dates.
  • Confirm that delivery and contact details are correct and update customer records with any changes.
  • Confirm the customer’s payment or credit status or obtain authorisation from credit control.
  • Depending on the customer, product range, legislation and destination (e.g. export) complete appropriate processes and documentation.
  • Monitor stock availability per designated region.
  • Process and maintain customer records and requests.
  • Create, update & complete uniform records for existing & new customers.
  • Process RBM approved credit notes.
  • Provide support for sales representatives.
  • Take calls or e-mails from customers and alert representatives to any urgent issues.
  • Responsible for first line receipt, investigation, follow up, resolution and feedback of all customer queries.
  • Pass any technical queries from sales representatives or customers to the appropriate departments.
  • Manage back and open orders due to stock shortages.
  • Communicate back to customers while updating representatives on orders or deliveries.
  • Generate and maintain records of sales and compare them with targets to help sales managers and representatives monitor the team's progress.
  • In the repeat business to business environment in which the company trades ongoing good relationships are of significant importance to achieving long term goals therefore ethical service, support, response and commitment are important relationship traits.
  • Contribute towards system and process improvement.
  • General office and administration duties when requested e.g., switchboard cover.
  • To perform any other reasonable tasks to meet business objectives.

Qualifications and Experience:

  • Grade 12 Senior Certificate
  • Tertiary admin or sales qualification.
  • Computer literate (ERP experience an advantage).
  • Multilingual an advantage.
  • 2 years related experience
  • Experience of working in the chemical industry.
  • M3 Management system.
