Duties & Responsibilities

Main Purpose of Role

Co-ordination of onsite consultants, projects & training events.

  • Co-ordinate projects
  • Book consultants for customers and maintain onsite consultants’ diaries
  • Co-ordinate training events in conjunction with the training department

 

Key Performance Areas

  • The upkeep of bookings and ensure confirmations are received – checking client account status.
  • Managing training schedules and bookings – to co-ordinate with the Training and Events co-ordinator
  • Upkeeping stock of manuals for training – ensuring training rooms are done the day before training is scheduled.
  • Invoicing to be completed and the spreadsheet to be updated daily
  • Ensuring bookings are confirmed and paperwork signed, consultants to be kept updated with changes.
  • Taking messages for the on-site consultants and preparing quotations
  • Balancing the invoice spreadsheet with Navision - monthly
  • Administration of projects - letters and spreadsheet with up to date data
  • Assist with project plans and charters as well as project bookings of BPW’s to clients
  • Follow up the project plan with letters of acceptance
  • Closing of projects with the follow up letters
  • Ensure that all tasks are up to date and signed off by clients
  • Ensuring that services staff follow the project methodology laid out for specific projects
  • Ensure that all project documentation is up to date and at hand for any queries
  • Keep in constant contact with the project champion on the client’s side, to ensure projects are on track
  • Keep the project billing up to date and notify the projects team before hand, if variation orders need to be raised.
  • Ensure that other departments within Accsys are kept up to date on projects status.
  • Together with Finance, ensure that project funds are allocated correctly, to the correct clients account
  • Ensure that Services consultants have all necessary documentation, VISA’s, travel plans etc. before he/she begins a project.
  • Ensure that project plans and charters are created, checked by the Accsys Project Manager together with the Project Consultants, and signed off, before a project begins
  • Ensure that project files are kept up to date with all relevant documentation, including sign off’s, email communication, charters, plans etc.
  • Attend Meetings

Desired Experience & Qualification

Required Minimum Education / Training

  • Matric plus relevant experience.

 

Required Minimum Work Experience

  • Administrative work experience in keeping bookings for multiple people

 

Technical Competencies Required

  • Computer literate, MS Office including Excel at advanced level
  • Navision and advantage
