Description
Duties & Responsibilities
1. Assist the PIO with programme administration duties. These include, amongst others:
a. Schedule programme meetings and events, minute taking, recording decisions and drafting action lists emanating from the meetings.
b. Follow-up on action lists.
c. Prepare and update project plan documents
d. Develop weekly and monthly feedback reports or as required
e. Create and maintain performance dashboards per project / programme
f. Prepare various presentations and reports on project / programme performance updates for the PIO, various Steering Committees, Exco and Board.
g. Update scope change request register and applicable project documentation and registers.
2. Support the Project / Programme Managers with the following tasks:
a. developing a project plan from concept to completion.
b. ensuring project activities are scheduled.
c. assist with costing all activities.
d. confirming commissioning, hand over and sign-off of the projects / programmes.
e. Monitor project / programme progress in liaison with Contractors and Programme Manager.
f. Validating invoices/claims submitted by contractors / vendors.
g. Monitor the implementation of the Occupational, Health and Safety Act and any audit report findings
3. Create project files for all projects / programmes according to best practice project management methodology/ies.
4. Assist with supply chain requirements; i.e. preparing requests for tender, sole source motivations, quotes, etc. Processing of invoices through the supply chain systems.
5. Facilitate compliance with relevant standards, policies and procedures for the relevant programmes and projects.
6. Create a project information library and manage ad-hoc and standard project information.
7. Monitor library to ensure required information and/or documentation are archived as per the DDM /Project Programme requirements.
8. Administer contracts under the guidance of the programme or project manager (scheduling, project meetings, progress reporting)
9. In liaison with the Programme Manager manage the project budgets and costs.
10. Make logistical arrangements for team members as required.
11. Any project administration duties as assigned.
Desired Experience & Qualification
1. Minimum qualification: a relevant advanced diploma in project management and administration.
2. A minimum of 3 to 4 years of experience in a similar function.
3. Demonstrated knowledge and use of project methodology such as PMBOK.
4. Knowledge and understanding of the PFMA.
5. Demonstrable ability to use of the Microsoft Project System.
6. Proven track record of preparing project/programme progress reports and presentations for various stakeholders (Programme Managers, Steering Committees, Exco and Board).
