Description
We are looking for a smart, forward thinking person with a can-do attitude to be the PA to the CEO (in other words: free the CEO from office and operational matters so that he can focus on steering the ship). You'll play a key role setting up a brand-new office and to manage the office in your Swiss-precision style (with a bit of flair of course!).
Duties & Responsibilities
As PA to the CEO you will:
- Be the hands and ears of the CEO, assist him with daily errands, tasks and personal duties to ensure the smooth running of operations and office matters.
- Manage the diary, schedule meetings and appointments for business and personal events of the CEO; provide support for all meetings (i.e. location, scheduling, catering, communication, etc.).
- Work with a travel agent and take a lead on all national and international travel arrangements within the business: think visa applications, accommodation bookings, logistics of venues, multiple ETA's and international timelines.
- Be involved with all sorts of ad hoc and fun things that will contribute to the success of the business.
- As the business is multi-national across different time zones keep in mind that you may be required to be available after hours.
With your Office Manager hat on, you take charge of the look and feel of the new office and ensure it runs like clockwork. You will be the point of contact to:
- Equip the office with IT hardware, software, service infrastructure, furniture and all the paraphernalia that makes a highly productive and pleasurable place to work at.
- Manage and maintain relationships with service providers (like the landlords for instance) and take care of all office expenses.
- Be in tune with the heartbeat of employees, attend to employee queries regarding office management issues (e.g. stationery, hardware and travel arrangements).
Desired Experience & Qualification
- Grade 12 or equivalent.
- Computer literacy: we love innovation and we'll need someone who is adept to using and learning various software products and technology.
- You will be an ambassador for the business, a positive attitude and ability to communicate (in English) in a clear and concise manner will be crucial.
- This role may require travel, both nationally and abroad; a valid passport is necessary.
- Absolute attention to detail is a must.
- We need a strong character who will maintain confidentiality of information and uphold integrity of office at all times.
- The ability to work independently with minimal supervision, to prioritise and be a proactive problem solver.
