Description

Our client within the Oil & Energy industry is seeking a Logistics Planner to join their team in Kloof.

 

Job Purpose: Manage the tankers loading from refinery or depot to local customer or export including documentation and clearing agent. Identify & resolve any issues which negatively affect transport optimisation.

 

Responsibilities:

  • Update transport planning schedule
    • Note position of each tanker & confirm movement to next position. If tanker does not move – follow up.
    • Make notes on transport schedule regarding tanker progress – especially as regards issues requiring follow-up, & resolve.
    • Update management with a moving 2 week forecast (plan) of customer deliveries & refinery collections.
    • Submit daily plan indicating deliveries made and deliveries in progress with eta’s.
  • Check e-mails and take action as required
  • Communicate with transporters, clearing agents, refinery  & customers
    • Note also that tankers deliver to customers & collect from the refinery on public holidays & weekends (if required) thus need to manage any tankers on the road at this time.
  • Keep refinery collection history file up to date. (Part of ‘monthly load’ spreadsheet data file. Refer also ‘Sapient system’.)
    • Invoice details from Refinery – note, check and reconcile to statement an agree to movements as per the Accountant.
    • Agent costs iro agency & other fees on imported product. Confirm all in order.
    • Transporter invoice details & costs. Update ‘monthly loads and Sapient’ systems and matches to RES numbers. (RES is the prefix for all orders for fuel & transport & the transaction is completed with a customer invoice)
    • Note time taken for each tanker from refinery to customer in order to maximise tanker turnaround.
    • Link – document flow from time of placing order on refinery & transporter to customer delivery to ensure each transaction is complete – ie from collection of load to successful delivery to invoicing of customer and variance analysis.
  • Monitor the performance of Tanker to maximise service levels – ie time taken per trip, noting delays & reasons for this, breakdowns, remedial action taken, spillages, etc. We cannot pay for idle time where it is the transporters responsibility.
  • Review and manage Transporter contracts and issue non-conformances – keep management informed of issues.
  • Reconcile statement from Refinery to stock sheets at the Depot.
  • Advise when further loads are to be paid for & ensure loads are pre-paid to avoid delays when collected
  • Reporting & statistics
    • Number of tanker loads & tons / lt dispatched
    • Number of tanker loads and sales value per customer
    • Credit balance in Refinery account in tons / Rands
    • Daily transport update of tankers en route to the customer and eta.
    • Issues / problems encountered & how resolved & successes achieved
  • Other
  • Any other office ad hoc tasks as required

 

Requirements:

  • Completed Diploma or Degree
  • Transport management and logistics experience
  • Able to manage an office iro documentation flow, communicate via e-mail using a computer, or cell phone, keep schedules as required using Excel and prepare reports using MS Word and Excel.
  • Has a dominant character, detail orientated with a sense of responsibility, must be able to work under pressure and unsupervised – a customer first mind-set, clear communication & organisational skills, assertive & solution driven .
  • Understand the anomalies relating to cross-border transport and customs requirements
  • Organized & be able to implement systems to manage the job functions
  • Energetic – continual monitoring of people involved in the transport system (customs, transporters & clearing agents, for export) & being pro-active in identifying & managing issues.
  • Confident & assertive – ensure you take evasive action to rectify potential problems & be in a position to pre-empt issues & problems.
  • Independent – be able to work independently, take the initiative & grow the job. Ask questions to ensure understanding.

 

Salary:

  • R20 000 + R500 data / cell allowance CTC
  • There is a quarterly performance allowance, depending on customer volume
  • 13th Cheque at management discretion.
