Description

Liaison: Between SAICA colleagues for the publication of SAICA’s electronic communication.

Corporate Standards: Align communication by means of formatting and editing (grammar, not specialist content) – all electronic communication

Relationships: With colleagues and external service providers.

Measure: Maintain and submit operating and other statistics and reports

Innovate: Investigate and, if appropriate, implement better electronic communication methods products to enhance SAICA’s communication to members.

Duties & Responsibilities

Objective 1

Member communication

  • To facilitate the implementation of member communication using input from the communications and marketing co-ordinators
  • Check all scheduled outgoing communications for grammar, spelling, prior to distribution.

Objective 2

Bulk e-mail

  • Receive and check requests for bulk e-mail
  • Maintain spreadsheet and statistics of emails sent.
  • Receive test emails
  • Ensure that the e-mail is signed off to send
  • After mail has been sent, receive, check and monitor the send reports supplied by service provider.
  • Monitor send statistics and reports and give feedback as necessary.
  •  Check correct boxes, target audience information provided by requester
  • Draft test e-mail and send it to relevant parties
  • Once approved, send mail

Objective 3

Create special designs using template

  • Requestor sends information to be inserted to create a special design for an event, be it sponsored or not
  • Design sent for approval
  • Once approved requestor logs a call via helpdesk for email to be prepared in the bulk email system [providing artwork and links] and the usual testing procedure follows

Objective 4

Special design emails provided

  • Take final artwork – a high quality jpg and resize to read easily without scrolling left to right.
  • Pick up errors on approved artwork received and return to sender to ask designer to rectify – once finalised continue with preparation in the system.
  • Prepare artwork to be imported into the system [slice and dice]
  • Link images to necessary links – brochure / sponsors / email address

Objective 5

Electronic newsletters

  • Receive draft items from the requester for the newsletter and compile a word document so coordinate all submissions for the newsletter.
  • Draft a test email and send to the relevant parties with comments and suggestions.
  • Check all links in the newsletter.
  • Ensure that all parties have checked and approved newsletter
  • Once approve send newsletter on appropriate dates to the relevant target audience as per member selection in iMIS

Objective 6

Mailing list

  • Extract weekly mailing lists from iMIS
    • SA / UK and ALL
  • Prepare the lists to be imported into the bulk email system
    • Delete members who do not want email communication from SAICA
    • Attach the SA or UK – SAICA approval list [SAICA staff who want a copy of every email we send members]

Objective 7

Customer service

  • To treat customers (SAICA Staff and Ensight) with a professional approach
  • To be service orientated in dealings with customers

Desired Experience & Qualification

Formal Qualifications

A relevant qualification in html as well as Adobe Photoshop.

Required Experience

Ability to read html and a proficiency in writing and copy editing.
