Description
RESPONSIBILITIES
- Secretarial tasks for the Head of Department and other personnel;
- Departmental and office administration;
- Electronic diary management for the Head of Department;
- Administrative duties related to the operational functioning of the department and departmental research programmes, including financial administration;
- Liaison with students, industry partners, other academic and research institutions, and the advisory board;
- Organising of events and travel arrangements;
- Ongoing maintenance of documentation for quality standards and accreditation visits.
- Permissions manager for the department.

MINIMUM REQUIREMENTS
MINIMUM REQUIREMENTS:
- A 3-year secretarial or office administration diploma;
- At least 3 years’ relevant experience which includes administration, secretarial functions and financial administration.
REQUIRED COMPETENCIES (SKILLS, KNOWLEDGE AND BEHAVIOURAL ATTRIBUTES):
- Excellent typing and computer skills in MS-Office (MS-Word, Excel, PowerPoint and e-mail) preferably supported by computer-based certificates in these programmes;
- Experience in the use of an ERP system such as PeopleSoft;
- Appropriate language and communication skills;
- The ability to do language editing on various documents;
- Interpersonal skills and conflict resolution abilities;
- Knowledge and experience of protocol;
- Sound time management and the ability to prioritise and function under high pressure.
RECOMMENDATIONS:
- Administration experience at a tertiary institution;
- Advanced computer literacy and skills including the use of the following computer programs: Web browser and ftp and Google calendar, in addition to MS-Office as indicated above.
SALARY DETAILS
The annual remuneration package will be commensurate with the incumbent’s level of appointment, as determined by UP policy guidelines. UP subscribes to the BESTMED medical aid scheme and contributes 50% of the applicable monthly premium.
